Terms of Service

These Terms govern your use of the Ravoqen service. Please read them carefully. By signing a subscription, scheduling a demo or using the dashboard, you accept these Terms.

1. The Service

Ravoqen is an AI Virtual Assistant for businesses. It answers calls, WhatsApp, Instagram and Facebook messages, captures leads, books appointments and presents conversations in a unified dashboard.

2. Accounts & eligibility

  • You must be at least 18 and able to enter contracts on behalf of your business.
  • You are responsible for the credentials you use and for activity under your account.
  • Demo calls do not require a payment card. A monthly subscription does.

3. Subscriptions, minimum term and minutes

  • Plans are billed monthly in advance. There is no setup fee.
  • All plans have an initial 2-month minimum term paid in advance at activation. After the minimum term, the subscription continues month-to-month and you can cancel anytime with no penalty (see section 6).
  • Each plan includes a monthly minute allowance.
  • Extra minute packs can be purchased and are added on top of the allowance. By default, extra packs may be added automatically when included minutes are used, so the assistant keeps working without interruption.
  • Auto-renewal is the default. You can disable it from the dashboard or by writing to contact@ravoqen.com.

4. Acceptable use

You agree not to use Ravoqen to:

  • Send spam, deceptive, harassing or illegal communications.
  • Impersonate another person or entity.
  • Violate the rules of WhatsApp Business, Meta or any telephony carrier.
  • Process special-category data (health data including diagnoses, test results and clinical details; biometrics; and other Art. 9 GDPR categories) unless explicitly agreed in writing.

4a. Healthcare and other regulated verticals

For clinics, dental practices, wellness centres and other healthcare-adjacent businesses, Ravoqen is configured out of the box to collect only:

  • the caller’s name and contact details;
  • appointment date, time and practitioner;
  • a short general reason for the visit (e.g. “consultation”, “follow-up”, “cleaning”).

The assistant does not record, transcribe or store diagnoses, test results, prescriptions or other detailed medical information. Any deeper processing of health data requires a signed Data Processing Agreement with the appropriate safeguards under Art. 9(2) GDPR.

5. Customer content

You keep ownership of the content you upload (FAQs, scripts, business details) and of conversations conducted on your behalf. You grant us a non-exclusive licence to process this content to operate the Service.

6. Suspension & termination

  • All plans have an initial 2-month minimum term prepaid at activation. After the minimum term, the subscription continues month-to-month and you can cancel anytime effective at the end of the current billing period, with no penalty.
  • Cancellations during the initial 2-month minimum term take effect at the end of that term; prepaid amounts for the minimum term are non-refundable.
  • We can suspend or terminate the account immediately if you breach these Terms, fail to pay, or put the platform or other customers at risk.
  • On termination, you have 30 days to export your data; afterwards we may delete it.

7. Availability & warranties

We target high availability but the Service is provided "as is". We do not warrant that every call or message will be answered perfectly. We are not liable for downtime caused by carriers, Meta APIs, third-party AI providers or events outside our control.

8. Liability

To the maximum extent allowed by law, our aggregate liability for any claim is limited to the amount you paid for the Service in the 12 months before the event giving rise to the claim. We are not liable for indirect, incidental or consequential damages.

9. Data protection

Our processing of personal data is described in the Privacy Policy and complemented by the GDPR statement. By using the Service, you act as data controller for end-customer data and Ravoqen acts as processor on your behalf.

10. Changes

We may update these Terms. Material changes will be communicated by email at least 14 days in advance.

11. Governing law

These Terms are governed by the laws of the European Union and the country of incorporation of the Ravoqen operating entity. Disputes will be brought before the competent courts of that jurisdiction.
